Memberships
The client pays a fixed sum every month (or year) and gets service credits and/or a discount. Menu → Memberships.
What it is
A membership is the client’s subscription to your salon. The client signs up once and saves a card; then the same amount is charged automatically every month (or year). In return the client gets service credits (“2 manicures a month”), a percentage off services and/or products — or both.
For you it means steady monthly income and regulars who come back to use their credits. The money goes to your own Stripe and from there to your bank. Kaizer Booking takes no cut of memberships. Pro / Max
Step 1. Connect Stripe (once)
- Sign up at stripe.com and complete verification: business details and the bank account for payouts.
- In Stripe open Developers → API keys.
- Copy the Publishable key (
pk_live_…) and the Secret key (sk_live_…). The secret key is shown once — if lost, create a new one. - In the program: Settings → Booking settings → paste both keys → Save.
Nothing else to set up in Stripe: products, prices and the connection are created by the program with your first plan. If Stripe is already connected for deposits — skip this step, the same keys are used.
Step 2. Create a plan
Menu → Memberships → “+ New plan”. Fields:
- Name — short and clear: Silver, Gold, “Manicure club”.
- Description — the client sees it on the sign-up page. Say the benefit plainly.
- Price — the amount per period. Period — every month or every year.
- Sign-up fee — optional one-time sum, charged with the first payment.
- How the client pays: “Card, charged automatically (Stripe)” or “At the salon — you mark each payment by hand”.
- Service credits per period — “Add a service or category”: a specific service or a whole category (the credit fits any service in it) and the quantity. Several lines are fine: “Manicure × 2” + “Brows × 1”.
- Discount on services, % — for services not covered by a credit.
- Discount on products, % — shown as a plan benefit; apply it by hand when selling products to a member.
- Unused credits: expire at the end of the period, carry over, or carry over but not more than…
- Minimum periods — how many periods the client commits to; shown in the terms.
- Boxes: pause allowed, can be bought online by the link, plan is active (untick to stop selling it — current members keep it).
Press “Save” — a card-paid plan is created in your Stripe at once. Start with 1–3 plans, priced a bit below the services bought separately — that is the client’s benefit.
Step 3. Sign clients up
Way A — from the client card:
- Client card → “Membership” block under the name → “🎫 Sign up for a membership”.
- Choose the plan — what it includes is shown below.
- “Send a card payment link” — copy the link and send it by SMS, WhatsApp or email. The membership starts after the payment; until then it is “Awaiting payment”.
- Or “Paid at the salon now — activate immediately” — pick the start date, active at once.
Way B — online, the client signs up alone:
- Menu → Memberships → “Plans” table, “Payment” column → “🔗 Copy sign-up link”.
- Put it in your Instagram bio, stories, booking page, newsletter or a QR code at the front desk.
- The client sees the plan and terms, enters name, phone and email, ticks the consent to recurring charges and pays by card.
- An existing client is found by phone or email; a new one gets a card automatically.
All plans at once: https://YOUR-SALON.kaizerbooking.com/m. Keep the client’s email in the card — renewal and failed-payment letters go there.
Step 4. At the appointment
Open the member’s booking. In the “Payment” block, above “Discount”, a membership line appears:
- “Use a credit: Manicure (2)” — when the booked service is covered; the number is what is left. Press — amount due becomes 0, one credit is spent.
- “−10% member discount” — apply the plan’s discount.
- Pressed by mistake or the client keeps the credit — “Return the credit” / “Remove”.
If the payment is overdue or the membership is paused, the line says “benefits are on hold”. Credits left and the full history are in the client card → “Membership” → “History”.
What happens by itself (card)
- Renewal. On the renewal day Stripe charges the card; the new period’s credits are issued and the client gets a “renewed until …” email.
- Failed payment. Status “Payment overdue”, benefits on hold, the client gets an email with “Update your card”, you get a push. Stripe retries over about a week; once paid, the membership is active again.
- All money is in your Stripe: Payments and Billing → Subscriptions.
Paid at the salon — your part
- On the day the period ends the membership turns “Payment overdue”.
- Took the money → client card → “✓ Mark the period paid” → amount. A new period starts with new credits.
- Who pays today — Memberships menu, “Due at the salon today”.
Managing a membership (client card)
- “🔗 Payment link” — get the link again.
- “💳 Change card / invoices” — the Stripe page where the client changes the card and sees invoices.
- “⏸ Pause” — until a date or until you resume; no charges and no credits meanwhile. “▶ Resume” — back to work.
- “✕ Cancel membership” — by card: active until the end of the paid period, no more charges; at the salon: at once.
- “↻” — refresh the status from Stripe (rarely needed).
- Switch plan: cancel the current membership and sign up for the new one.
Statuses
- Awaiting payment — signed up, not paid yet.
- Active — paid, credits and discount work.
- Payment overdue — the charge failed (or the salon payment is not marked); benefits on hold.
- Paused — stopped for a while.
- Ended — canceled.
Where to look
Menu → Memberships: the summary, Members with statuses and a filter (a name opens the card) and Plans (edit, delete, copy the link). Notifications: Settings → Push notifications → “Memberships: new member, failed payment”.
Changing or deleting a plan
- New price or period — for new members; current ones keep the price they signed up with.
- New credits or discount — from their next period.
- A plan with members cannot be deleted — it is hidden and no longer sold; current members keep it. A plan without members is deleted.
Staff: memberships belong to the “Clients” section — whoever has Clients access sees memberships and can spend credits.
FAQ
- The card says “no plans yet”. Create a plan first: menu → Memberships → “+ New plan”.
- No “Copy sign-up link”. Only card-paid plans with “Can be bought online” have it, and Stripe must be connected.
- No “Use a credit” in the booking. Check that the service (or its category) is in the plan, credits are left and the membership is active.
- The client got no email. The client card needs an email.
- Paid, but still “Awaiting payment”. Press “↻” in the membership block.
- Refund — in Stripe: Payments → the payment → Refund; cancel the membership if needed.
