Students: courses, groups, payments and certificate
How to set up a training course, fill a group, block the days in the calendar, get paid on a schedule and issue a certificate.
The course in Services
- Open Services and the course.
- Duration is the length of one day of the course (e.g. 8 h).
- Switch on Training and fill in: days in the course, start time, seats in a group, deposit when enrolling, and how many days before the start the rest is due.
- Skip the trainer's days off keeps course days off the trainer's days off.
Booking a course
A course is booked like a service. Open Appointments → + Appointment, pick a service with Training switched on — the “Client” line becomes “Student”, and the search lists the people from the Students list first (🎓). Pick the day, time and deposit and save. The program enrols the person on the course itself: the name, price and hours come from the service, the start date from the appointment. A group that studies together is booked one student at a time on the same day.
The student card
- Courses — course, paid, balance, agreement, certificate. The balance is counted from the payments on the course appointments: the deposit at booking, the visit payment, payments from Payments.
- Appointments — every visit of the student; course days are marked 🎓. + Appointment opens the booking window with the student’s course.
- Invoices — the same agreements as a client’s: + Agreement (the course’s form), pick the appointment in the agreement — the service, amount and deposit fill in. After saving, the program returns to the student card.
- Instructions — instructions for students, for signature.
- Photos — photos of the work.
Enrol a student in a group
- Students → + New student, pick the course.
- In Group pick an existing group (dates, trainer and free seats are shown) or + New group.
- For a new group pick the trainer and the start date — the program shows the days and hours. Remove a day with ×, add one below.
- If the trainer already has clients on those days, the line turns red and shows which appointment is in the way.
- Course hours, start date, deposit and due date fill in by themselves — you can change them.
Calendar
Each day of a group is one block in the trainer's calendar, “🎓 Course · 2/3” (students out of seats). Online booking to that trainer is closed for those hours; other masters work as usual. The evening before each day the group's students get a reminder.
Groups
Students → Groups lists every group: dates, trainer, students, seats. From ⋯ you can change the days (students and calendar move together) or cancel the group (days leave the calendar, students stay).
Payment plan
A student has a deposit and a date by which the rest is due. Three days before that date and on the day, if money is still owed, the student gets a reminder — the text is in Settings → Templates → Students → Student — Payment reminder. An overdue date shows in red on the student card.
Schedule in the email
The welcome email and SMS have the {schedule} variable — the list of course days and hours.
Certificate
Each course gets its own certificate. On the student card, Courses block, Certificate column: Issue certificate marks the course finished, gives it a number and sends the PDF with the congratulations email; afterwards the same place has PDF and Send again.
- The look is set in Settings → Certificate. The sample on the right shows every change at once. Only the Save button at the top keeps them — it saves everything on the page together (the uploaded logo and signature too). Leave without it and the old settings stay.
- Design — 12 designs: 4 for every plan and 8 marked PRO (Pro and Max plans; the trial opens them all). A PRO design can be clicked and seen in the sample; saving it needs Pro or Max. Picking a design brings back its own colours and font.
- Colours and font — background, frame, title and course name colours: six circles and the rainbow ring for any colour. The design's own colour is marked; pressing the chosen circle again goes back to it. Below — the title font.
- Logo and signature — upload a picture; sign on white paper and the program removes the background. The logo has a Remove the background tick: the program cuts the person or the drawing out of any background (the first time takes a few seconds). The size is a slider: logo 50–200%, signature 50–150%; the sample follows at once.
- Who signs for the salon, the title and the line before the course name — the fields on the left.
